How to Submit Your Camera-Ready Paper

Prepare Your Paper

Finalize Your Manuscript

Before submitting, make sure your final paper is complete and publication-ready. Please ensure that your paper:

  • Follows the IEEE conference format template
  • Incorporates all reviewer feedback and required revisions
  • Respects the page limits for your paper category
  • Contains no grammatical, spelling, or content errors
  • Includes the appropriate IEEE copyright notice on the bottom left of the first page (see the table below for the exact text)

Validate with IEEE PDF eXpress

Your final PDF must be validated for IEEE Xplore® compatibility before submission. Use the IEEE PDF eXpress tool to check or convert your paper.

Go to the IEEE PDF eXpress portal and follow these steps using Conference ID: 69865X:

  1. Create an account: Sign up for a new account by entering your basic contact information. You will receive an account creation email confirmation.
  2. Upload files: Upload your PDF for Checking or your source file(s) (such as Word or LaTeX) for Conversion. You will receive an email confirmation of file receipt.
  3. Compatibility check / conversion: Submitted PDFs are Checked for IEEE Xplore®-compatibility; source file(s) are Converted to IEEE Xplore-compatible PDFs.
  4. Verify the results:
    • If a PDF was submitted: You will receive an email stating that your PDF Passed or Failed the Check. If it fails, a PDF Check report is attached to the email. Go to your account and click "Understanding the PDF Check Report" for solutions.
    • If source files were submitted: You will receive the PDF eXpress-generated PDF as an attachment, and it will also be available through your account. Review the PDF to ensure that it views on screen and prints as you intended.
  5. Revisions (if necessary): If revisions are needed, they may be submitted (either PDF or source files) by returning to step 2 above.
  6. Approve: When you have an acceptable IEEE Xplore-compatible PDF, click the Approve button in the PDF eXpress portal to finalize it.

Complete Registration

Complete Author Registration

At least one author per accepted paper must complete and pay the full Author Registration before the camera-ready submission is unlocked on Sparcly. The platform will not allow you to proceed until payment has been confirmed.

Submit on Sparcly

Log in to the Sparcly Platform

Visit conferences.sparcly.ai and sign in with your account credentials. If you do not have an account, please register using the same email associated with your paper submission.

Navigate to Your Paper

Go to My Papers from the dashboard. Select the accepted paper you wish to submit the camera-ready version for. Then navigate to the last tab: Camera-ready.

Sign the IEEE Electronic Copyright Form (eCF)

The first page in the Camera-ready section will ask you to complete and submit the IEEE Electronic Copyright Form. Follow the on-screen instructions to review and sign the copyright agreement. This step is mandatory for your paper to be included in IEEE proceedings.

The copyright form must be completed by the corresponding or submitting author.

Upload the Validated Camera-Ready PDF

Upload the IEEE Xplore-compatible PDF that you approved in Step 2 via IEEE PDF eXpress. This is your final publication-ready paper.

Indicate the Presenter

Specify which author will present the paper at the conference. The presenter must be registered for the conference. Please note that at least one author per accepted paper must complete an Author Registration.


Important Reminders

Deadline

The camera-ready submission deadline is July 31, 2026. Late submissions may not be included in the proceedings.

Copyright & Paper

Both the copyright form and the camera-ready paper must be submitted. Your submission is complete only when both are uploaded.

Registration Required

At least one author must complete the Author Registration for each accepted paper before the camera-ready deadline.
